Microsoft 365 Copilot Setup for Small Businesses
Get real value from Copilot in Outlook, Word, Excel, Teams and SharePoint: the right licences, files shared safely before it's switched on, and a team that knows how to use it.
Licence advice · Permissions checked first · Hands-on staff training
Microsoft 365 Copilot works inside the apps your team already uses: summarizing long email threads in Outlook, drafting documents in Word, analyzing spreadsheets in Excel, and recapping Teams meetings. A free Copilot Chat is included with business Microsoft 365 accounts, while the full Microsoft 365 Copilot that works with your files and email is a paid add-on per user.
Copilot can find and use any file a person already has access to. In many small businesses, years of "share with everyone" links mean staff can reach far more than they should, and Copilot will surface it. Checking and tightening those permissions before rollout is the most important step, and the one most often skipped.
What a Copilot Rollout Includes
Licence advice
Who will actually benefit from a paid Copilot licence, and who is fine with the free Copilot Chat, so you don't pay for unused seats.
Permissions and oversharing check
SharePoint, OneDrive and Teams sharing reviewed and tightened, so Copilot only surfaces what each person should see.
Setup and settings
Licences assigned, data and privacy settings reviewed, and Copilot enabled in the apps you use.
Hands-on staff training
Short sessions built around your team's real work: email, meetings, documents, spreadsheets and prompts that actually help.
Copilot Studio agents
Simple agents that answer staff questions from your own documents or handle a routine process inside Microsoft 365.
Power Automate workflows
Copilot paired with Power Automate to handle approvals, forms and notifications automatically.
Is Microsoft 365 Copilot Worth It for a Small Business?
For people who spend their day in email, documents and meetings, it usually is: summaries and first drafts save real time. For staff who rarely use those apps, the free Copilot Chat is often enough. We start with a few licences for the people who'll use it most, measure, and expand only if it pays off.
If your files are disorganized or overshared, fix that first. Copilot is only as good, and as safe, as the information it can reach.

Microsoft 365 Copilot FAQs
What's the difference between Copilot Chat and Microsoft 365 Copilot?
Copilot Chat is included with business Microsoft 365 accounts and works like a secure AI chat. Microsoft 365 Copilot is a paid add-on that works with your own email, files, meetings and Teams chats inside the apps.
Is Copilot safe for our business data?
It follows your existing Microsoft 365 permissions and doesn't train on your data. The risk is files that are shared too widely, which Copilot will surface. That's why we review permissions before rollout.
Does every employee need a Copilot licence?
No. Licences are per user, so we usually start with the people who spend most of their day in email, documents and meetings, and expand if it proves worth it.
Can Copilot answer questions from our own documents?
Yes. Microsoft 365 Copilot can use files people have access to, and Copilot Studio can build an agent that answers from a specific set of documents, like your procedures or policies.
Can you help if we're not on Microsoft 365 yet?
Yes. We can move your email and files to Microsoft 365 first. See our business email setup and cloud migration services.
