Business Email Setup and Deliverability in Ottawa
A professional address on your own domain, mail moved over from your old provider, and SPF, DKIM and DMARC set up properly so your invoices and quotes land in the inbox, not spam.
Microsoft 365 or Google Workspace · Migration included in the quote · Small offices and solo businesses
A Gmail or ISP address makes a business look smaller than it is, and it ties your email to one person or one provider. Moving to email on your own domain, through Microsoft 365 or Google Workspace, fixes that, and it's the foundation for everything else: shared calendars, file sharing and proper security.
Since 2024, Google and Yahoo have also required senders to authenticate their email. Domains without SPF, DKIM and DMARC see more mail going to spam or bouncing outright. Setting these up correctly is a small job with a big effect on whether customers ever see your quotes.
What We Set Up and Fix
Email on your own domain
you@yourbusiness.ca on Microsoft 365 or Google Workspace, with the domain, mailboxes, shared addresses and phones set up.
Moving from Bell, Rogers, Gmail or an old host
Mailboxes, contacts and calendars migrated, with mail still flowing during the switch.
Emails going to spam
SPF, DKIM and DMARC records set up and checked, and the causes of poor delivery found and fixed.
Emails bouncing
Errors like "554 5.7.5 permanent error evaluating DMARC policy" traced to a broken or conflicting DNS record and corrected.
Shared mailboxes and aliases
info@, invoices@ and bookings@ set up so the right people see them without sharing a password.
Scanners and website forms
Scan-to-email and website contact forms sending reliably through your new email system.
Why Are My Business Emails Going to Spam?
The most common reasons are missing or broken email authentication: no SPF record, more than one SPF record, DKIM never switched on, or no DMARC policy. Website forms, invoicing tools and newsletter services that send "as" your domain without being included in SPF and DKIM are the other big cause.
We check your domain's records, list every service that sends email for you, set up SPF and DKIM for each, then add a DMARC policy that starts in monitoring mode and tightens once everything legitimate passes. Your mail stops being easy to spoof, too.
Microsoft 365 or Google Workspace?
Both are excellent for small businesses. Microsoft 365 suits offices that live in Outlook, Word and Excel, or work with clients who do. Google Workspace suits teams who already use Gmail and Google Docs and want the simplest admin.
We'll recommend one based on how you work, set it up, and you pay Microsoft or Google directly for the licences, with no markup from us.

Business Email FAQs
Why are my business emails going to spam?
Usually missing or incorrect SPF, DKIM or DMARC records, or a tool like your website form or invoicing system sending as your domain without being authorized. We check and fix each one.
Do I need DMARC?
Yes, for any business sending email. Google and Yahoo now expect it, and it stops criminals sending fake invoices from your domain. It's set up in monitoring mode first so nothing legitimate is blocked.
What does "554 5.7.5 permanent error evaluating DMARC policy" mean?
The receiving server couldn't read your domain's DMARC or related records, usually because one is malformed or duplicated. Correcting the DNS record fixes it.
Can you move our email from Bell or Rogers to Microsoft 365?
Yes. We migrate mailboxes, contacts and calendars, move your domain over, and keep mail flowing during the switch.
How much does business email cost?
The licences are paid to Microsoft or Google per person per month. Our setup and migration is a one-time quoted job based on how many mailboxes and how much mail is moving.
